The Management Rule: Use the Job Number

OneMan Office-Simple tools,Natural flow, Zero data kept.

Tools that do the heavy lifting.

So you don’t have to.

The One‑Man Office Method

Use the Job Number

The Job Number is the lever that multiplies your effort.
It’s how you turn a “pile of emails”
into a professional archive
without paying for a database.

Use the same Job Number on your Quote,
your Invoice,
and your Day Ledger.

Job Number Method

Your simple, stress‑free way to keep every job together.

1. Make your folders

Create three folders in your email:
QuoteLedgerInvoice

2. Put emails in the right folder

Match the email to the folder:
Quotes → Quote
Ledgers → Ledger
Invoices → Invoice

3. Add the job number to the subject

Example:
Quote – Job 102
Ledger – Job 102
Invoice – Job 102

4. Change “By Date” to “By Subject”

Tap or click Date at the top of your email list,
then choose Subject.

5. Type the job number

Type 102 into the search box.
Everything for that job appears together:
the quote • the ledger • the invoice

Your whole archive lives in your email account.
You become the vault‑keeper of your own books —
not OneManOffice,
not a company on the internet,
not a server you don’t control.

When tax season hits
or a client calls,
type the Job Number into your email search bar.
Everything for that job appears instantly.

Zero‑Maintenance

You own the archive in your email.
We don’t keep your data.
There is nothing for us to lose.
Nothing for you to manage.

Why our system works

Because email already gives you the things most software charges for:

Automatic timestamps
Search
Folders
Cloud backup
Device sync
Audit trail
Sender/receiver proof

You’re not starting from nothing.
You’re building on infrastructure that’s already battle‑tested.

The real strength

Your whole archive lives in your email account.
You become the vault‑keeper of your own books —
not OneManOffice,
not some company on the internet,
not a server you don’t control.

Your work.
Your records.
Your hands on the keys.

⚖️ THE MONEY RULE

Stress‑Profit %

Money means never spending more than you must —
and that includes your own sanity.

Price the Risk

Rendering a garden wall in the sun is easy money.
A full gable end in November is a gamble.

The Contingency Margin

This rule protects you when the weather turns
or a supplier lets you down.
You shouldn’t pay
for the privilege of working.

Stay Upright

If you don’t price the risk,
the risk will eventually
price you out of business.

Founder’s Note

“I built OneManOffice because a £30 tip shouldn’t break your accounting software,
and a week of rain shouldn’t break your bank account.
Use the Job Numbers.
Set up your email folders.
Let the machinery carry the weight.”

🔐 Privacy by Design

We don’t keep your data.
We don’t build profiles.
We don’t sell anything on.

You use the tool.
You send the document.
It’s gone.

Simple tools.
Natural flow.
Zero data kept.
